Al Ghurair Mobility — Cars Services is hiring a detail‑oriented Warranty Administrator to manage warranty claims, recoveries, and documentation for our Dubai operations. This role ensures accurate submission and follow‑up of OEM warranty claims, timely recovery of costs, and close coordination with Service, Parts, and Finance teams to protect margins and customer satisfaction.

  • Team scope: Warranty admin, service advisors, parts coordinators, finance contacts

Key responsibilities

  • Prepare, submit, and track warranty claims to OEMs and authorized vendors according to manufacturer procedures and timelines.
  • Validate warranty job cards and supporting documentation (photos, diagnostic reports, parts invoices) to ensure claim completeness and compliance.
  • Liaise with Service Advisors, Workshop Supervisors, and Parts to gather required evidence and expedite claim approvals.
  • Monitor claim status, follow up on pending approvals, and escalate unresolved cases to OEM contacts or regional warranty support.
  • Reconcile warranty recoveries with Finance; ensure accurate posting, credit notes, and timely collection of approved amounts.
  • Manage warranty parts returns, core exchanges, and warranty credits; coordinate reverse logistics with Parts and Warehousing.
  • Maintain accurate warranty records, claim logs, and KPI dashboards (claim acceptance rate, recovery rate, days to settlement).
  • Conduct periodic audits of warranty submissions and job cards to reduce rework, minimize rejected claims, and improve first‑time acceptance.
  • Implement and maintain standard operating procedures for warranty processing and train service staff on documentation requirements.
  • Support warranty reporting for monthly operational reviews and provide insights to reduce warranty exposure and improve technical quality.
  • Ensure compliance with OEM policies, local regulations, and internal controls for warranty financials.

Requirements

Experience and qualifications

  • 2–4 years experience in warranty administration, aftersales operations, or dealer network warranty roles within the automotive industry.
  • Practical knowledge of OEM warranty processes, claim coding, and parts return procedures.
  • Experience with Dealer Management Systems (DMS), ERP systems, or warranty portals; strong MS Excel skills for reconciliation and reporting.
  • Diploma or degree in Automotive Technology, Business, Finance, or related field preferred.
  • Valid UAE work authorization.

Skills and competencies

  • Exceptional attention to detail and strong organizational skills.
  • Clear written and verbal communication in English; Arabic is an advantage.
  • Analytical mindset with ability to reconcile financials and identify trends.
  • Customer‑service orientation and ability to work collaboratively across Service, Parts, and Finance.
  • Integrity, reliability, and ability to manage confidential financial information.
  • Comfortable working under deadlines and handling multiple claims simultaneously.
