We are hiring a detail‑oriented Reservation Agent to join the reservations team at an AlphaMind Group venue in Dubai. The Reservation Agent will manage incoming bookings across phone, email and online channels, maintain accurate guest records, and deliver personalised pre‑arrival service to maximise covers and guest satisfaction. This is a full‑time role with regular evening and weekend shifts.


Duties and responsibilities

  • Manage bookings: Take and confirm reservations via phone, email and booking platforms; update the reservations system in real time.
  • Guest communication: Respond to pre‑arrival enquiries, confirm special requests, and provide clear information on menus, dress code and venue policies.
  • System maintenance: Keep guest profiles, VIP notes and reservation logs accurate; update CRM with preferences and feedback.
  • Capacity management: Monitor covers, manage waitlists and coordinate table allocations with FOH to optimise seating and minimise wait times.
  • Problem solving: Handle booking conflicts, cancellations and no‑shows professionally; implement rebooking or compensation where appropriate.
  • Upselling: Promote special menus, events and pre‑order options to increase average spend and improve guest experience.
  • Reporting: Produce daily reservation summaries, flag trends and escalate capacity or staffing concerns to the Reservations Manager.
  • Cross‑team coordination: Liaise with FOH, kitchen and events teams to ensure smooth handovers for VIPs, private events and large bookings.
  • Compliance: Ensure guest data is handled in line with privacy best practices and company policies.

Requirements

  • Experience: Minimum 1–2 years in reservations, guest relations or front‑office roles in restaurants, hotels or hospitality groups.
  • Technical skills: Proficient with reservation platforms (e.g., OpenTable, SevenRooms, Resy) and comfortable using CRM and basic reporting tools.
  • Communication: Excellent written and verbal English; polite, clear and professional phone manner.
  • Customer focus: Strong guest‑service orientation, attention to detail and ability to remain calm under pressure.
  • Organisational skills: Ability to prioritise tasks, manage multiple channels and maintain accurate records.
  • Availability: Flexible schedule including evenings, weekends and public holidays.
  • Presentation: Professional grooming and a polished demeanor.
  • Right to work: Legal authorization to work in the UAE.
  • Languages: Additional languages are an advantage.
  • Qualifications: Hospitality or customer‑service certification is a plus.
